This privacy policy explains how we collect, use and store personal information when you use the SET Image Bank to upload photographs to SET's visual archive.

The type of personal information we collect
We currently collect and process the following information:
- Your name
- Your email address
- The photographs you upload, which may include images of you and other people
- Any description or caption you add to a photograph
- A record of when each photograph was uploaded and which file it relates to
How we get the personal information
All of the personal information we process is provided to us directly by you, when you use the SET Image Bank to:
- enter your name and email address before uploading
- upload one or more photographs
- add an optional description to a photograph
We use the information that you have given us in order to:
- build and maintain SET's visual archive
- credit and attribute photographs correctly, including to photographers or third parties where you have told us to
- contact you about photographs you have submitted – for example, to check permission to use a specific image or to ask for more information
- keep a record of who submitted each photograph and when, so we can administer the archive and resolve any queries about usage rights
Images submitted to the archive may be used by SET for archival, promotional, or website purposes, as explained to you before you upload. We do not publish your name or email address alongside archive images; these are kept for our internal records only.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
- Consent – you confirm, using the consent checkbox on the upload form, that you agree to your images being used in the SET Image Bank archive.
- Legitimate interests – we have a legitimate interest in keeping accurate records of who has contributed to our archive, so that we can credit, contact, or verify permissions with uploaders.
How we store your personal information
Your information is securely stored using Cloudflare, our cloud hosting and storage provider. Cloudflare processes this information on our behalf and does not use it for its own purposes.
We keep:
- your name, email address, and upload record (including the copy embedded in a photograph's metadata) for as long as the photograph remains in our archive
- our internal log of uploads for as long as necessary to administer the archive
If you would like us to remove your name or email address from a submission, or to remove a photograph entirely, please contact us using the details above.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access – you have the right to ask us for copies of your personal information.
- Your right to rectification – you have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure – you have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing – you have the right to ask us to restrict the processing of your personal information in certain circumstances.
- Your right to object to processing – you have the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability – you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
